Your whole business on one screen, and a morning that runs itself.
The Founder Second Brain is one connected AI operating system for a founder-led firm: an automated chief of staff, a self-checking dashboard, a self-improving sales engine and a knowledge graph that maintains itself. Built on Claude, HubSpot and the tools you already run. From £9,500 / $13,000.
The business runs across seven systems. The only integration layer is your head.
Marketing lives in one tool, sales in another, delivery in a third, money in a fourth. Each tool is fine; the joins are the problem. You start every day with 45 minutes of triage across inboxes and boards. Numbers disagree between tools and nobody knows which is right. Commitments made on calls evaporate because no system owns them. Won deals create delivery work that quietly slips. None of this shows up as a line item. It shows up as you doing admin at 9pm and a pipeline you do not fully trust. That is not a demand problem or a CRM problem. It is a systems problem, and it is the one AI can actually fix, once the data underneath it is clean.
Two builds. Start with the core, or go straight to the full system.
The operating system foundation
The parts every founder feels on day one: clean data, a brief that runs the morning, and one screen you can trust. Up to five connected systems.
- A canonical data spine keyed on HubSpot, one source per figure.
- An autonomous weekday brief: reconcile, file, draft replies, post to Slack.
- A command centre with founder, EA, FD and sales zones and data-age stamps.
- A cross-system consistency checker that flags contradictions in Slack.
The complete Founder Second Brain
Everything in Core, plus the layers that make it feel like memory and keep it getting sharper. Up to eight connected systems.
- A self-improving sales engine: CRM hygiene, win and loss mining, a learning proposal generator.
- An automated weekly review and weekly business update, drafted from the week's evidence.
- A knowledge graph: auto-regenerating entity notes for clients, prospects, services and people.
- An interaction ledger with historical backfill, plus a weekly cross-system intelligence run.
Both ship with an owner's manual: a plain-language guide to what runs when, where everything lands, how to tell when something is wrong, and your short job list. No black box.
One screen you can actually trust.
Every system reconciled into a single view: what changed, what needs you, and the numbers behind it, each stamped with how fresh it is. Illustrative below.
Data. Chief of staff. Dashboard. Intelligence.
Built in that order, on purpose. A dashboard on dirty data is a faster way to be wrong.
Clean, connected data
One canonical record per client, keyed on HubSpot, shared by every system. One source per figure, each labelled, nothing displayed that cannot be traced.
The automated chief of staff
A weekday agent that reconciles every system, files, drafts replies in your voice and posts one Slack brief. You reply in Slack; the next run acts on it.
The command centre
One screen, four founder-job zones, exceptions and deltas not feeds, every zone stamped with the age of its data, with a consistency checker underneath.
Self-maintaining intelligence
A knowledge graph and a weekly intelligence run that answers the questions a good non-exec would ask, and tracks whether last week's actions actually happened.
We built this for a real firm, and we run it ourselves.
What it returned
For an anonymised founder-led professional services firm: 15 to 20 founder-hours a month back, 14 scheduled automations replacing manual habit, 126 self-maintaining entity pages, and 87 durable interactions backfilled from 75 days of calls and email on day one.
What it caught in a fortnight
A proposal wrongly flagged overdue (already sent), a new retainer won but not yet invoicing, a headline pipeline figure a month stale, and a retainer client that had gone silent days before a critical on-site. Silent wrongness, made structurally impossible.

A fixed-price build, then an optional retainer.
Data spine, automated daily brief and command centre, up to five connected systems. Fixed price, 50% up front, 50% on go-live. Typically four to six weeks.
Core plus the self-improving sales engine, automated weekly review and the self-maintaining knowledge graph. Up to eight connected systems.
The system is built and stable, and you want it monitored, accurate and maintained. Every automation watched, fail-loud alerts fixed, a monthly accuracy audit and system health report.
Everything in Care, plus one improvement cycle a month (a new automation, rule or dashboard zone) and a quarterly four-hat review that resets the roadmap to your current priorities.
Is this right for you?
This is a good fit if
- You are a founder-led B2B firm, roughly 2 to 20 people and £300k to £3m revenue.
- You run HubSpot plus the usual stack (email, Slack or Teams, a task board, accounting).
- Sales, delivery and finance still join up only in your head.
- You want a verified brief and one trustworthy screen, not another dashboard to maintain.
- You want AI doing the remembering and chasing, with humans keeping the judgment calls.
This is not right if
- You are not on HubSpot, since the data spine is keyed on it.
- You want AI to send, price and decide autonomously rather than draft for your approval.
- You are not willing to clean the data first, since a dashboard on dirty data is worse than none.
- You want a one-off report rather than a system that runs every day.
The AI does the remembering, reconciling and chasing; the humans keep the judgment calls. Replies are drafted in your voice but sending stays human, and pricing, hiring and bidding stay with you. Every automation fails loudly to Slack rather than quietly writing wrong data, and the whole system ships with an owner's manual so it is never a black box. We connect read-first and agree the scope with you.
Questions we get asked.
Anything else, ask us directly. You will speak to a founder, not a form.
Speak to usHow much does it cost?
The build is a fixed price: Core from £9,500 / $13,000 (data spine, automated daily brief and command centre, up to five connected systems) and Full from £16,500 / $22,000 (Core plus the self-improving sales engine, automated weekly review and the self-maintaining knowledge graph, up to eight connected systems). After go-live an optional retainer keeps it monitored and improving, from £950 / $1,300 a month.
What do I actually get?
A verified morning brief posted to Slack every weekday, one command centre screen built around the four jobs a founder does, a cross-system consistency checker that flags any two numbers that disagree, and (on Full) a self-improving sales engine and a knowledge graph of your clients, prospects and people that maintains itself. Plus a plain-language owner's manual, so it is never a black box.
Do I have to learn a new tool or change how I work?
No. Slack is the reply channel. The brief arrives in Slack and you answer its questions, or say "bid", or "that shipped Friday", as a normal Slack reply. The next morning's run reads your replies and updates everything. There is no new app and no new habit.
Is it safe? Does it send emails or move money on its own?
No. The AI does the remembering, reconciling and chasing; the humans keep the judgment calls. Replies are drafted in your voice but sending stays human, and pricing, hiring and bidding stay with you. Every automation fails loudly to Slack rather than quietly writing wrong data.
What do you need connected?
HubSpot plus the usual founder-led stack: Gmail or Outlook, Slack or Teams, a task board like Asana, cloud accounting and call recordings. Core connects up to five systems, Full up to eight. We connect read-first and agree the scope with you.
How long does it take to build?
Typically four to six weeks, built in the right order: clean data spine first, then the chief of staff, then the command centre, then the intelligence. We do not put a dashboard on dirty data.
Who is it for?
Founder-led B2B firms, roughly 2 to 20 people and £300k to £3m revenue, running on HubSpot plus the usual stack, where sales, delivery and finance still join up only in the founder's head.
